1. Are we going to receive many unjustified reports if the whistleblower can choose to report anonymously?
A potential whistleblower will perceive the possibility of 100% anonymity as reassuring which will increase the possibility of submitting her/his report. Further, Lund Elmer Sandager will screen all the reports.
2. Why do I as a customer have to create at least two contact persons on the whistleblower platform?
It is important that you provide two contact persons. If one of the contact persons is involved in the incident, Lund Elmer Sandager will involve the other contact person.
3. Is it possible to purchase more than two contact persons?
Yes. In large companies, it can make great sense to have more contact persons. This may be relevant to minimize the burden and to better avoid conflicts of interest, but also if there is a need for more contact persons to be involved in a case.
4. Is a whistleblower scheme really necessary?
A whistleblower scheme helps to strengthen the trust and transparency within a company, and it provides the opportunity to be proactive instead of reactive through the reports from the whistleblower platform and can help bring management closer to the business.
Furthermore, an EU directive makes it a legal requirement that all companies with more than 50 employees must have a whistleblower scheme.
5. Could we just report cases by e-mail or phone?
At Lund Elmer Sandager, we only receive reporting through web-based communication, as it ensures the highest degree of security and anonymity for the reporter. At the same time, it ensures that Lund Elmer Sandager can conduct investigations and maintain a secure and protected dialogue with reporters as well as your contact persons without the risk of incorrect sharing of personal information or other confidential or sensitive information.
6. Is it necessary to make your whistleblower platform available to the public?
As a company, you can choose to make your whistleblower platform available through a limited intranet or an open website.
We recommend making the whistleblower platform available on the company’s website so that for example business partners can use the system.
7. When will the contact person in the company be informed that a case has been created on the whistleblower platform?
The contact persons will be able to see that a new report has been filed as soon as the whistleblower has reported it in the whistleblower platform. However, it will not be possible to access the case until Lund Elmer Sandager has investigated the case and assigned it to one of the contact persons. When Lund Elmer Sandager assigns the case to a contact person, the other contact persons will not be able to access the case, however, they can see that a new report has been filed.
8. Does the whistleblower platform provide an overview of cases?
The whistleblower platform gives the contact persons in the company an overview of reports per. month, an overview of the categories which the reports concern, as well as average processing time per. report. In addition, the individual contact person can see the number of cases that he or she has been assigned.
9. How secure is the whistleblower platform?
The whistleblower platform ensures that whistleblowers can maintain their anonymity. When a report is made, the system generates a random password which must be used to access the case later. Neither Lund Elmer Sandager nor the company that has implemented the whistleblower platform is able to see the identity of the whistleblower – unless the person chooses to report as or change the status to “confidential”. If this is the case, Lund Elmer Sandager has access to whistleblower’s contact information. All communication is encrypted (HTTPS). User access for lawyers at Lund Elmer Sandager and contact persons in the company is protected with two factor validation.
10. What is the price for setting up a whistleblower platform at Lund Elmer Sandager?
The price per year for LES whistleblower platform is DKK 9,600 excl. VAT. The price includes set-up, access to the whistleblower platform as well as a ‘document package’ that includes a policy, privacy policy, GDPR bill, poster for internal awareness and the initial assessment/screening of each report to uncover whether reports fall within or outside the scope of the whistleblower scheme.
The actual case processing of a legal case that falls within the scope of the whistleblower is billed on a timely basis at Lund Elmer Sandager upon prior agreement with the company.
In addition, you can purchase some additional services, for example training at the company and management on how to the use of whistleblower platform.
11. How do I set up a whistleblower platform for my company?
You may register digitally here on the website for a whistleblower platform. Follow [this link] to access the register site and follow the steps to get your whistleblower platform.
You may upload your company logo and colours so that your whistleblower platform is adapted to your visual identity.
When the registration process has been completed and approved by Lund Elmer Sandager, you will receive a link to your whistleblower platform which you can make available on your intranet or website.
